Introduction
Welcome as a member of staff at the University of Copenhagen. As an employee at the University you share the responsibility for one of the largest workplaces in Copenhagen. The University employs about 6,400 full- and part-time employees and educates more than 34,500 matriculated students.
You may have difficulties finding your bearings at this large workplace to begin with,. Not only is it divided into many sub-organizations such as faculties, departments, institutes, laboratories, and technical and administrative units. It is also spread out throughout a great many parts of the city, though we do aim to concentrate the University on the three campus sites, from Nørre Fælled in the north through the inner city to the new urban district of Ørestad in the south.
The size of the University offers advantages, as well as disadvantages. Among the advantages, you will find that as a member of staff it will be possible to take on a broad range of different tasks, and gain an insight into the many different aspects of the work carried out at one of the country’s most exciting and heterogenous workplaces. Among the disadvantages, you may find that the long distances make it difficult to form a general view and conceive the University as a whole.
Though the University is located on many different addresses, it shares the aim of ensuring the university’s status among the large and first-rate European universities. It is the privilege of the University to manage and renew the professional traditions and results established and achieved during the institution’s 525 years of history.
A condition that the University may sustain its international status as an institution of research and education is that everybody contributes towards preserving a high standard of quality - whether this be in relation to research, teaching, collaboration with the business sector, or technical, and administrative fields of activity.
In return, the University tries to motivate and engage the staff in the development of our common place of work by involving you and your colleagues in the management of the University, and through the pursuit of an active human resource policy.
This staff manual aims to help you, as a new member of staff, to get a comprehensive view of the University. The manual is structured like a small-scale encyclopaedia. The subjects are described in alphabetical order so as to facilitate your access to subjects of special interest. These subjects may concern management, collaboration, or personnel conditions.
The University hope that this manual will be of help to you during your introduction to your new place of work, and wish to welcome you once again.

We welcome you as a new colleague to our common place of work. This Staff manual will provide answers to many of the questions that may occur to you during your daily work. It also contains many references to where to obtain further information. In several passages you will find references to the respective union representatives (shop stewards). Consequently, we invite you to make use of the introduction and the assistance, which also your union representative is prepared to give you.
At our workplace a serious effort is made to ensure that our human resource policy is up-to-date. But irrespective of this, situations and problems may arise, which are most appropriately handled and solved through the assistance of a trade union representative. Consequently, it will be to your advantage to make use of this possibility, when starting your new job.
Finally, like the Rector and the University Director above, we too, would like to encourage you to engage yourself in the development of our common place of work, which may become an even better place to work through your contribution. And if you have any suggestions of how to improve this Staff Manual, you are most welcome to forward them for consideration, when we prepare the next edition.

Illness must be notified to the place of work as soon as possible. This normally means by telephone and at the start of working hours. The local workplace will register your absence in ScanPas. At every place of work instructions, as to whom and when to notify illness, should be available. Other kinds of absence must always be agreed with/approved by Head of Department/local executive. Scientific staff working outside the place of work should always leave a contact address/ telephone number. Academy councils (Akademisk(e) råd)
will be appointed for each faculty in accordance with the new University Act. The boards will make statements on the internal distribution of appropriations and the composition of expert committees concerning applications for academic positions, and assessment committees concerning the conferment of PhDs and doctorates. Elected among VIP-staff (Scientific Staff) and students. TAP-staff (Technical-Administrative Staff) will elect one or two representatives acting as observers.

Academic Council (Konsistorium)

The electronic telephone directory
www.ku.dk/vejviser/ contains the addresses and telephone numbers of the University’s units, and work addresses of all employees at the University of Copenhagen. Updated by the individual units.The administrative offices carry out a range of service functions and perform tasks of informative, documentary and supervisory nature in relation to external authorities. Each of the six faculties is administered by its own secretariat. In addition to these, there are a number of decentralized administrative units, such as operational service units and department administrations.
The IT Division develop, set up and maintain the University of Copenhagen’s shared administrative data processing systems relating to finance, studies and staff administration, and to recording. Advance allowance for travelling expenses
Prior to payment a form requesting advance allowance for travelling expenses must be filled in. It must be ordered by the department employing the recipient of the allowance. The recipient must sign the form. Advance allowance for travelling expenses is paid in cash, or transferred to a financial institution about a fortnight before the commencement of the journey. Advance allowance must be settled immediately after the termination of the journey, or after a fortnight, at the latest. If the deadline is exceeded, the signature will hold good as authorisation to withhold the entire allowance in the outstanding wages of the recipient. Advertising of vacant positions
Notice of vacant academic/research positions is to be forwarded by the individual units to either the faculty secretariats, or directly to the advertising agency. They will be advertised in "Universitetsavisen" (The University Newspaper) and in scholarly journals, on the university homepage and other websites, such as www.jobnet.dk. The individual faculty determines specific rules on which advertisements are to be forwarded via the faculty.
Notice of TAP (Technical and Administrative) positions is forwarded to the Personnel and Legal Department (at the Faculty of Humanities via the faculty secretariat). Such vacancies will be advertised in the daily newspapers, scholarly journals (depending on the kind of position) and in every case on the university homepage and www.jobnet.dk. ) Advertising expenses are paid by the advertising unit.
If a member of staff becomes infected by HIV, he/she may continue to work as long as health allows. According to The National Board of Health no danger of infection exists in normal work relations to colleagues and students engaging in normal social relations with a person infected by HIV. Inquiries can be made to the safety steward, who holds further information.
Ailments caused by Working conditions
Notification on Injuries inflicted by work
should be made on a yellow registration form, which can be ordered from Arbejdsmiljøfunktionen (the Occupational Safety and Health Unit), tel. 353 22802. It would be most expedient, if the injured person asks his/her GP to fill in the form, but the injured person may also do it him-/herself. Further information www.ku.dk/arbejdsmiljo Info, tel. 353 22802.Consumption of beer, wine and spirits, or other intoxicants is prohibited during working hours, nor must a member of staff be under the influence of alcohol or other intoxicants while performing his/her duty, regardless of whether the consumption has taken place outside working hours. However, a single unit may be consumed in the canteen/lunch room during the principal lunch break. Se also: the Human Resource Policy

Appointment of a number of hourly paid teachers, such as part-time lecturers, assistant lecturers
, instructors, student assistants and tutors is formally and in actual practice made by the Director of Studies, who also draws up the employment contracts. Decisions concerning the appointment of TAP-staff (Technical and Administrative Personnel) are decentralised and made by the Head of Department/Head of Section/works manager, according to guidelines agreed upon by HSU (The Central Liaison Committee) and possibly by the relevant local liaison committee.Decisions concerning the appointment of academic scientific staff and PhD Fellows are normally made by the Dean on the basis of the evaluations made by an assessment committee

Access to administrative it-systems requires user registration and individual user authorisation to relevant systems. Application is made on special forms for this specific purpose. The forms must be forwarded to the IT Division. See www.ku.dk/it
B
Blood donors are entitled to stay off duty to the extent necessary in connection with giving blood. So-called company arrangements exist in various parts of the University, and the mobile blood bank will arrive at certain addresses at regular intervals.
Board (the University)
The board which was set up by 1 January 2005 and safeguards the University’s interest as an educational and research institution and determines guidelines for it’s organisation, long-term activities and development. The Board is the highest authority of the University. It is composed of six external members and five internal members of whom two are academic scientific staff, two are students and one a member of the technical-administrative staff.

Arrangement is made in agreement with your own financial institution (bank). The agreement must be forwarded to the Salaries and Wages Section for transaction/wage deduction. The same deadlines apply for capital pension/instalment pension/annuity as for sending in information about changes in salary (approx. the 10th of the month). This is of specific importance at the turn of the year.

Central Secretariat (the) (Fællessekretariatet)
The aim of the Central Secretariat is to bring together a number of cross activities in the Central Administration with a view to streamlining and uniforming a number of activities and raise the service level in a number of areas internal as external.

In connection with your child’s sickness, you have the right to paid leave on the first day of the child’s sickness, if the child is under the age of 18 and lives at home.

Collection of Rules and Regulations
"Regelsamling for Københavns Universitet" ("Collection of Rules and Regulations for University of Copenhagen") is available on KU’s www server on the Internet, www.ku.dk/regel . The collection contains, in as far as possible, all externally stipulated laws, ministerial orders, circulars, etc. of relevance to the University. It also contains a few internal rules. The latter can also be found in Instituhåndbogen (the Administrative Manual) along with the majority of the University’s shared internal everyday work material

Most employees at the University are appointed in accordance with a collective agreement. The University having become an independent institution, civil servants can no longer be appointed. Scientific staff is generally appointed in accordance with the collective agreement on academics in the state, with several special provisions relating to institutions of higher education attached. Pension contributions will generally be paid into the fund attached to the organisation in question. The majority of the University’s non-academic, technical and administrative staff is appointed according to the collective agreement concluded between the Ministry of Finance and the Association of Danish State Employees’ Organisations (StK-agreement). Besides a number of occupational groups are covered by agreements specific to the area in question. Pensions contributions for most of the groups will generally be paid into StK-pension, but may also be paid into alternative funds. The commemoration of the University of Copenhagen is celebrated on the third Thursday in November. The exact date will be announced in " Universitetsavisen" (The University Newspaper).
The time when to take up your duties is determined in agreement with your
nearest superior.
Commercial services(rendered by public institutions)
See also External funding. In accordance with the general rules on appropriation for government institutions, government institutions are entitled to render commercial services in connection with carrying out their general purposes. In principle such activities are considered commercial. It must be fully commercial and subject to separate accounting, so as not to be financed by public funds. The University of Copenhagen may offer i.e.commissioned research, supplementary education and consultancy. Special rules apply with regard to marketing to ensure that private services are not inflicted with expensive competition, financed by public funds.

In the Human Resource Policy the Central Liaison Committee (HSU) has pointed out competence development as a core element of the University’s human resource policy: "
All employees at the University of Copenhagen shall be given the opportunity of sustaining and developing their professional and personal powers with due regard to the demands of the place of work and the general development of the labour market." Competence Fund (the)
The fund is administered by the Centre for Development of Human Resources and Quality Management (SCKK) that allocate funds to ministry departments, and to which the institutions may apply for specified courses of development lasting no less than a week.
If you need computer or safety glasses, you should contact the Occupational Safety and Health Unit on tel. 353 22802 and order a requisition for the purchase of computer
glasses in accordance with the government agreement. The glasses will be paid for by your local place of employment – the requisition must be signed by your local

The IT Division operate the shared KU-net and the local net of the central administration. KU-net connects various local nets and gives access to the central computers and to DENet/Internet. Inquiries: IT-Section, tel. 353 22700
The IT Division draw up standards for, set up and maintain it-workplaces for the professional offices and some faculty secretariats. This includes PCs, printers, scanners, interfaces for graphic access to the administrative systems and word processing programmes, spreadsheets, electronic mail, etc. Other computer workplaces are covered by local arrangements. Inquiries concerning proper fitting up of pc-workplaces should be made to the occupational safety and health committee
The University of Copenhagen has reported/presented approx. fifty core research areas, which may constitute the core in major research priorities to the Danish Council for Strategic Research.

Damages to glasses (and contact lenses)
Damages to glasses or contact lenses should be notified on an internal KU-form.

The Danish University Extension (Folkeuniversitetet) is an organisation founded in 1898 with the aim of disseminating knowledge of the methods and results of research. Offering special courses of lectures and courses, the Danish University Extension gives everyone regardless of educational background, who has the desire and the interest, an opportunity to gain insight into the world of science and the present state of research within the different fields of science.
The University Extension in Copenhagen offers courses for those who may occasionally wish to attend courses of lectures and courses within a variety of subjects, and for those who wish to build up a more systematic knowledge within a specific subject area. Dean (the)
The Dean manages the faculty and employs and dismisses on Rector’s authority. The Dean is appointed by Rector. The Dean has the disposal of the faculty’s means in accordance with the budget drawn up by the Board. Must ensure the interaction between research and education and the quality of education and teaching.
In the case of death this must be notified to the local Head of Department or office, who will inform the Personnel and Legal Department tel 353 22567, and – if so agreed - the faculty secretariat. Relatives should contact the Personnel and Legal Department for information about supplementary salary for the bereaved and the like.
The University of Copenhagen is comprised of 38 departments and a number centres carrying out teaching and research. The departments are organised in six faculties.
Departmental boards (Institutråd)
The Head of Department shall, involving the students, the academic scientific and technical administrative staff, build up an organisation to carry out the overall tasks of the department. As part of this process the Head of Department shall set up an advisory departmental board composed of representatives of the scientific staff, the technical and administrative staff, the students and, if desired, external representatives. Rector determines the specific guidelines for the appointment, composition and advisory activities of the departmental board.
In 2001 the University obtained a new design programme with the purpose of ensuring a more uniform expression to the outside world. A main element is a logo composed of the old seal dating from 1537 and two smaller circles below. The seal shows the dates 1479 and 1537, the years in which the University was founded as a catholic seminary and later re-inaugurated as a protestant university after the Reformation by Christian III, who also appears in the seal. In co-operation with the Study Board, the Director of Studies shall undertake the practical organisation of teaching and assessments forming part of the exams. The Study Board recommends the Director of Studies to the Dean.

is granted by the Head of Department. A copy of the permission will be forwarded to the Dean. See also Leave
Members of staff whose employment is financed by external grants intended for specific research projects are subject to the same conditions of employment as staff paid by public funds. The employment of temporary technical-administrative staff cannot be extended, unless so-called objective reasons exist. The employment of temporary academic scientific staff can be extended twice. Following the second extension, they must either be employed permantly or not at all, cf. Act on fixed-duration contracts (act no. 370 of 28 May 2003). In addition to the general holidays, as distinct from Sundays, all members of staff at the University have a day off on Christmas Eve, 31st December, 1st May and on Constitution Day (5th June).
In case of death and severe disease among the closest relatives extraordinary leave may be granted by agreement with the local executive.
The employee may take one day off in connection with his or her own wedding and silver wedding, if this happens on a normal weekday, also by agreement with the local executive.
The local executive should take a sympathetic view with regard to work planning, so that an ordinary holiday may be spent in connection with other great family events or the like.

The University has eight faculties: Theology, Social Sciences, Health Sciences, Humanities, Science, Law, Life Sciences and Pharmaceutical Sciences.
Each faculty has an administration, which attends to major assignments for the faculty and acts as a secretariat to the Dean.

First aid kits should be available in all sections, offices and departments. No general agreement exists, but the separate units may choose to buy their own supplies or to subscribe to Falck, if desired.
Persons with lasting reduced working ability, unable to gain or secure employment on normal terms, may be covered by the public flex job scheme. Inquiries, the Personnel and Legal Department, tel 353 22650.
Flexible working hours have not been introduced in general, but local arrangements do exist. Working hours are laid down by agreement with the local management.

Most employees at the University of Copenhagen are covered by a group life insurance attached to the employment. Group life insurance is an insurance covering the insured through the payment of an insurance amount in case of death or critical illness. For further information see www.fg.dk

The Head of Department attends to the day-to-day management of the department, including the planning and allocation of tasks and shall ensure the quality and interaction bewteen research and education and shall, in consultancy with the Study Board and the Director of Studies, follow up on evaluations of education and teaching.

The Danish national system of public health insurance gives all residents equal and free access to the public health services. Some new-comers have to wait 6 weeks to become eligible for coverage by the public health insurance. The public health insurance is financed by taxes and therefore only applicable to residents. However, anyone staying in Denmark is entitled to free hospital assistance in case of emergency illness and accidents

History
The University of Copenhagen was founded as early as in 1479. The University is the oldest university in Denmark. At the time of establishment, universities were mainly theological educational establishments. But also law, medicine, and philosophy were contained in the university of the time. You earn the right to 2,08 holidays with every month of employment during a calendar year (the qualification year). Uninterrupted employment during the entire qualification year gives you the right to 25 holidays corresponding to 5 weeks holiday. Part-time employees working less than 5 days a week earn a proportionate number of days.
Holidays must be held in the year following the qualification year. The so-called holiday year runs from 1 May to 31 April the following year. Generally 15 days holiday (3 weeks = the main holiday) is granted and held consecutively during the period from 1 May to 30 September (the main holiday period). Account of spent holidays is kept by the local workplaces, who will update information in the University’s electronic holiday/absence recording system, ScanPas..
Holiday is set by negotiation between the individual employee and the management at the local workplace. In accordance with the Holiday Act notification of the time and period of the main holiday shall be made no later than three months before, and other holidays no later than one month before the holiday. Other holidays are likewise subject to agreement with the local management.
Trainees: Special holiday rules apply to trainees. This will appear from the employment contract..
Holiday with pay: Employees permanently employed on a monthly basis, who have earned the full right to paid holiday, will receive the usual salary during holidays.
Holiday supplement: Employees permanently employed on a monthly basis will receive a holiday supplement, which in most agreements has been fixed at 1½ % of the salary earned during the qualification year. The holiday supplement is usually paid with the monthly wages for April.
Executives authorized to negotiate holidays with the staff may allow the transfer of up to five holidays to the following holiday year. The University has decided on a maximum accumulation of two weeks. Transfers must be registered in ScanPas. See www.ku.dk/regel and www.ku.dk/instituthaandbog
Sickness in connection with holiday:: If you fall ill before your holiday, the holiday may be suspended. If you fall ill after the the usual commencement of working hours on the first holiday, the holiday cannot be suspended. If in doubt contact The Personnel and Legal Department, tel 353 22646..

Holiday Fund (the)
At present the University’s Holiday Fund has disposal of 17 summer houses (15 in Denmark, two in Sweden, and two rented holiday flats in Barcelona and Paris respectively), which can be rented by the University’s members of staff.

All university premises are locked up outside normal working hours. Access to the premises is gained by using an id-card. Slide the card through a card reader and type your personal PIN code. With the passing of the Act on Universities of 2003, the University has become an independent institution.
An amount subject to adjustments within a maximum and a minimum limit for salary increase set by certain collective agreements. Is in the process of being wound up. Will be replaced by "New Wage".

Agreement is contracted between the employee and a pension insurance office, bank or similar. The agreement should be forwarded to the Salaries and Salaries and Wages Section for transaction/wage deduction. The same applies to the payment of annuity. (For deadlines, see Capital pension.)
The University of Copenhagen is covered by the Government self-insurance scheme. The scheme covers "all risks, normally covered by insurance. Damages will be paid in accordance with the general rules of Danish law."
In practice this means, that the University only offers compensation if the University, or a member of staff at the University has committed an act of negligence, but not if it is a matter of unforeseen contingency.

The University of Copenhagen’s www-portal for staff and students. PUF, publication register, registers the publications of the scientific staff at the University of Copenhagen. Presently a new research information system, CURIS, is being established partly to replace PUF. The payment of jubilee gratuity to employees, employed in service of the state for 25, 40 and 50 years respectively is administered by the Personnel and Legal Department.
It lies with the workplaces to clarify jubilees with the Personnel and Legal Department before arranging festivities and the like. The workplace may finance a moderate reception out of the annual budget.

When appointed, a new member of staff will be supplied with keys for his/her place of work in return for a receipt. Some workplaces use cards.The keys must, of course, be returned at retirement or resignation.

Decision on applied leave without pay is made in accordance with the general rules stipulated in the professional agreements and the Human Resource Policy. The executive with the power to appoint is also competent to decide on leave without pay.
Liaison committees must be established at institutions with no less than 25 employees. If within the institution there are separate workplaces managed by independent executive units employing no less than 25 employees, a liaison committee must be established for each of these units. If several liaison committees are established within the same institution, a central liaison committee serving the entire institution must be established.
Accordingly the University of Copenhagen has established liaison committees at all three levels: institution, faculty and department/office/section. A total of about 50, which should.contribute towards ensuring the development of collaboration between management and staff at all levels.
Hovedsamarbejdsudvalget (HSU) (the Central Liaison Committee) attends to issues common to the entire University and is presently composed of 22 members. Rector who is ex-officio chairman nominates the other nine executive representatives (the A-side). The 12 seats of the staff representatives (the B-side) are divided among the trade union representatives of the organisations entitled to negotiate. The deputy chairman is nominated among the B-side members.

The lunch break is placed by agreement with the management with due consideration for the work as well as for the provisions of the Danish Working Environment Act. Employees employed full time are entitled to a lunch break lasting up to half an hour conditioned, however, by the employee being available to the employer during the break. Some employees are not entitled to a paid break included in their working hours (part-time staff employed a maximum of hours a day, some skilled and unskilled labourers). Salary expenses covering the employment of a substitute during maternity and paternity leave will be reimbursed by application to the Maternity Fund. The repayment equals the difference between the reimbursement to which the University of Copenhagen is entitled as employer from the social services department (social benefit rate) and the salary expenses of the substitute. Application must forwarded to the Salaries and Wages Section (Lønsektionen). The repayment cannot, however, exceed the salary of the employee on leave. The University contributes, like other government institutions, to the fund, which in principle is self-contained.

The universities belong under the Ministry of Science, Technology and Innovation. The Ministry was established in November 2001 as a result of the former Ministry of Research and Information Technology being extended to include the universities (research and education), industrial research, and technology and innovation policies. Objective
According to the University Act, section 2, the objective of the University is to conduct and offer research-based education at the highest international level in the disciplines covered by the University. The University shall ensure a balanced relationship between research and education, on a regular basis screen for the relevancy of its research and educational disciplines, prioritise and develop them further, and disseminate knowledge of scientific methods and results.
An occupational accident must always be reported. Report is made on a green form, which can be ordered from the Occupational Safety and Health Unit on tel. 353 22802.
The notification form is to be filled in by the injured person with help from the local ccupational safety and health organisation, professional representative (shop steward), or the Occupational Safety and Health Unit. The entire notification form including the medical certificate/report from casualty ward, if any, must be forwarded to the Occupational Safety and Health Unit, Nørregade 10, Postboks 2177, 1017 København K.
The Occupational Safety and Health Unit will forward the notification to the Danish Working Environment Authority in case of absence, or to the National Board of Industrial Injuries, if the injured person wants consideration of the case with a view to claiming compensation. Occupational safety and health representative
The occupational safety and health representative is elected by and among members of staff without powers of management and for a period of three years. The ccupational safety and health representative participates together with the supervisory representative in the work relating to ccupational safety and health in the local occupational safety and health group. It is recommended that meetings be held regularly, so as to give the staff relevant information about matters of interest relating to the unit’s field of activity.
Office furniture: Used furniture can, when in store (Kommunehospitalet, Bygning 24), be procured through Materielforvaltningen, tel. 353 24048(open between 11:00 and 12:00). Used furniture is returned to this store, which is used by the entire university. New office furniture is, in as far as possible, purchased by framework agreements,. Official journeys must be made in accordance with the current rules and fares at home and abroad in force. Travelling accounts must be enclosed original vouchers for hotel, plane, taxi, ferry, etc.

Staff paid by the month will usually receive their payment at the end of the month via a wage account in a financial institution/bank. Usually the payment will be at your disposal on the last banking day of the month. Civil servants will receive their payment a month in advance.
Staff paid by the hour will likewise receive their payment via a wage account in a financial institution/bank. The payment will be available by the middle of the month, provided the time sheet is filled in correctly, and is handed in to the Salaries and Wages Section no later than 2 weeks before. The wages are paid through SLS (the Government Central Wage Administration). Staff will receive a wage specification In connection with the transfer of wages.
Most employees are covered by pension schemes in accordance with agreements. As a principal rule a pension scheme by agreement implies that your own contribution constituting a certain percentage of your salary and an employer’s contribution, twice that amount, will be paid into a specific pension fund. Please consult the relevant pension fund, or the Personnel and Legal Department, tel. 353 22646.
It follows from the University Act that the Board enters into a performance contract with the Minister. The contract covers several objectives. It is to strengthen and qualify the Ministry’s basis for decision through elaborate and methodical dialogue with the universities. The performance contract is intended as a key document in relation to the Ministry’s general supervisory commitments. The performance contract is concurrently to constitute the starting point for the ministry’s and the universities’ endeavours to secure the recognition of the sector and it is to contribute towards enhancing the knowledge and understanding of the individual university’s distinctive feature, priorities and priority areas. Last but not least, the performance contract is to serve as an internal management tool.

Sickness must be reported as soon as possible on the first day of absence. An instruction of how and to whom to make the report about illness must be available at all workplaces. If requested, the
employee must while absent be able to substantiate that the absence is caused by illness. This is done by handing in a medical certificate. See also the section about sickness in the Human Resource Policy.Smoking Policy.
As of 1 September 2006 an indoor smoking ban has been introduced at the entire university. This applies to both students and staff. The smoking ban may in some cases be extended to cover balconies and inner courts. This is decided by the local liaison committees. The smoking ban also applies on special occasions, such as receptions, parties or similar taking place on the university’s premises. An arrangement by which all government institutions pay rent with a view to render visible the actual expenses relating to the use of property. The aim is to include these assets in the overall priorities of expenditure.
The Students’ Council is the students’ organisation at the University of Copenhagen. A local council is attached to each subject area and provides a forum for student gatherings and for the exchange of views on social and political aspects of the development and conditions of the subject areas and departments. The Student Council is the union of all the University’s local councils and represents the students in relation to the University and the outside world. Study Board (Chairman/Vice-chairman of)
The chairman/vice-chairman of the Study Board is elected by and from the academic staff and the students respectively.
The supervisory representative is nominated for a period of three years by the Head of Department/section among all supervisors in the department/section/office. The supervisory representative participates together with the working environment representative in the work concerning health and safety in the local working environment group. Supplementary salary for the bereaved in case of death
Supplementary salary for the breaved is a benefit, which
under certain conditions is paid to the surviving spouse or children under the age of 18, whom the employee was obliged to support at the time of death. This is conditioned by the deceased employee being covered by the
Employers’ and Salaried Employees’ Act, or an agreement referring to the provisions of this Act within this area. The need for training should be discussed during staff development interviews. Employees at the University may participate, by approval of the local executive, in courses and seminars arranged internally at the University or offered by professional organisations, other educational establishments, or public authorities.

If the tax information is not available eletronically, the tax deduction card must be kept by the Salaries and Wages Section during employment. If the tax card is not available, Income tax will be charged at a flat rate of 60% without tax-free allowances. Theft
The University does not pay compensation for theft of the staff’s possessions. Valuables should be locked up and doors locked at the end of working hours, or during temporary absence. Theft will be reported to the police.
Time off during working hours
Doctor and dentist: You are allowed to see a doctor or a dentist during working hours by agreement with the nearest executive. Consultation should, whenever possible, take place during off-duty hours, or early in the morning/late in the afternoon and in any case so as to influence the working hours as little as possible.
Public and civic duties: time off is granted in connection with the performance of civic duties, such as: lay assessor, juror, or accessor at local government elections or general elections. Agreement about this kind of absence is made with the nearest executive. See also Blood donors. Inquiries can be made to the Personnel and Legal Department, tel. 353 22646.
Consult the agreement in question and the agreed standard periods. Working overtime and taking time off in lieu of wages always requires previous agreement/approval by the responsible management/executive.
Time off when taking an Examination
In connection with supplementary training and attendant exams, the university’s employees may be granted paid leave on the days of the examination. This, however, only applies if the teaching has been within a subject, which the nearest executive considers to be of relevance to your work.
Time sheets for payment of hourly-paid staff and payment for specific services to various other employees must be forwarded to the Salaries and Wages Section after certification. The University has a ‘permanent’ body of staff equivalent to about 5,200 full-time positions distributed on about 6,800 heads.

Trade union representatives (shop stewards)

Approximately 100 trainees are doing their trainee service in various parts of the University. The majority are trainee clerical assistants and trainee laboratory assistants. See the Human Resource Policy for guidelines. Inquiries can be to the Personnel and Legal Department, tel 353 22662.
The University of Aarhus has compiled a Danish to English translation manual . The manual, which is in consonance with the Ministry of Science’s translation of the University Act, contains concepts, terms and titles often used in the university world. The state has entered into an agreement with "Europæiske Rejseforsikring" about travel insurance. This insurance must be used for official journeys.
Other insurance agreements cannot be reimbursed. Please notice that the yellow medical card (National Health S http://oc.engerom.ku.dk/universitetsordbog/ervice) does not cover official journeys or excursions. Insurance cards will be issued by the Division of Finance, Accounts Section, when you forward an order form.
The insurance premium must be paid either directly to "Europæiske Rejseforsikring" or together with the ticket through a travel agency.

Unemployment benefit, allowance for 1st and 2nd day of unemployment
When an employee entitled to unemployment benefit has been employed a total of 74 hours within the last four weeks before the time of unemployment, the employer is obliged to pay for the 1 st and 2nd day of unemployment.

Wages are negotiated once a year, unless other agreements have been entered. Staff not covered by the new wage agreement are subject to wage negotiations in connection with the implementation of local and executive wage pools. The leading principle for waste disposal is: All waste must be sorted as close to the source as possible. Cardboard and paper are covered by local agreements. Oil and chemical waste are covered by separate instructions. Organic and hazardous waste are covered by special arrangements, just as special rules apply to nuclear waste.
